Exhibitor FAQ’s

  • What is the timeline for the conference?

Drop-Off and Set-up. You can drop off and set up as early as 9:00 am on Sunday. Registrants begin arriving at 12:30 pm Sunday, and workshops, opening sessions, exhibits, and light snacks are scheduled from 1:00–5:30 pm. The program indicates that exhibitors are available starting at 3:00 pm.

Daily Exhibit Hours.

Sunday: 3:00 – 5:30 pm

Monday: 7:30 am – 4:30 pm (breakfast starts at 7:30 am, most sessions end at 4:00 pm)

Tuesday: 8:30 – 11:30 am (optional). Note: Tuesday morning activities do not include breaks.

You are welcome to stay in the exhibitor area through Tuesday, but traffic will be light. The conference ends at noon on Tuesday. You are encouraged to participate throughout the conference and may attend sessions, meals, and other activities.

Monday, 4:30 – 6:00 pm OR Tuesday, noon – 2:00 pm

  • Meals and Sessions

All conference meals, sessions, and events for one person are included with your sponsorship. You may register more than one representative for an additional fee. You are encouraged to participate throughout the conference.

  • How Do I Register and Pay?

You will register online through the Cvent registration system, beginning in December. When exhibitor registration opens, you will receive an email with detailed instructions and a personalized link. After registration, you will receive a follow-up email asking you to provide your meal choices and dietary needs.

  • Registration Deadlines

For the Presentation Option or the Print Advertisement:  March 15, 2013. For all other options:  April 15, 2013. Last day for cancellation refunds (less $50):  May 1, 2013

  • Payment

We encourage you to pay online with a credit card at the time of registration. Alternately you may pay via check to the OrACRAO Treasurer no later than  April 15, 2013. Send checks payable to OrACRAO to the address below. Please include the name of your company and representative on the check.
